What we collect when you write to us, what we do with it, and the things we have chosen not to do at all.

01Who we are

BookTravel USA Corp. is a travel agency in Boca Raton, Florida, registered with the State of Florida as a Seller of Travel (Reg. No. ST45485) and a CLIA member agency (00048039). In this notice, “we” and “us” mean BookTravel USA Corp., and “the site” means booktravelusa.com.

This notice covers the website and the enquiries sent through it. Once a journey is under way, the hotels, operators and carriers involved handle your details under their own privacy policies.

02What we collect

Only what you type into one of our forms, plus the ordinary records any web server keeps.

  • Enquiry forms — the contact page, the Inquiries dialog and the hotel request form: your name, email address, phone number, departure city, destination, travel dates, number of travellers, an indicative budget, and anything you write in the notes. The hotel form also records which hotel and room you asked about. We record the page an enquiry was sent from, so the advisor who replies knows what you were looking at.
  • Dispatches mailing list: your email address and the date it was added.
  • Server records: standard web-server logs — IP address, browser user agent, pages requested and when — kept for security and troubleshooting.

No field on this site asks for a passport number, a date of birth or a payment card. When a confirmed booking needs those, we collect them directly, over a channel meant for them — never through a form on this website.

03What we do not do

  • No advertising cookies, no analytics cookies, no tracking pixels. The only cookie this site sets is the session cookie our own staff receive when they sign in to the admin area — visitors never receive one.
  • We do not sell personal information, and we do not share it for cross-context behavioural advertising.
  • We do not add you to the mailing list because you sent an enquiry. That takes a separate, deliberate sign-up.

One third party is involved in loading the page: typefaces are served by Google Fonts, so Google's servers see your IP address when they are fetched. There are no other external requests.

04Why we hold it

  • To reply to your enquiry and design the journey you asked about.
  • To arrange and service a booking — passing a supplier the details it needs to hold a room, a villa, a charter or a flight.
  • To send Dispatches, if you asked for it.
  • To keep the records a travel agency must keep for accounting, insurance and Florida Seller of Travel purposes.

If you are writing from the UK or the EU: we rely on your consent for the mailing list, on steps taken at your request before entering a contract for enquiries and bookings, and on our legitimate interest in running and securing the site for server records.

05Who sees it

  • The advisors at BookTravel USA working on your trip.
  • The suppliers needed to deliver it — hotels, villa owners, ground and tour operators, charter and cruise companies, airlines and insurers — and only the details each of them needs.
  • Amazon Web Services, which hosts the site and delivers form submissions to our desk by email (Amazon SES).
  • Anyone we are legally required to tell: a lawful request, a court order, or the defence of a legal claim.

That is the whole list. We do not pass details to advertisers, data brokers or lead-generation services.

06How long we keep it

Enquiry correspondence stays with the desk while we are in touch and for a reasonable period afterwards, so a returning traveller does not have to start again. Booking records are kept for as long as accounting, insurance and Florida Seller of Travel rules require. Mailing-list addresses stay until you unsubscribe.

Ask us to delete something sooner and we will, unless it is a record we are obliged to keep.

07How it is protected

The site is served over HTTPS, so what you type into a form is encrypted in transit. Enquiries are delivered to a staffed inbox rather than stored on the website itself; the mailing list lives in our database, and the admin area behind it is password-protected and closed to search engines. Access is limited to the people who need it.

No system is perfect, and we would rather say so than promise otherwise. If a breach ever affected your information, we would tell you and the relevant authorities as the law requires.

08Your choices

  • Unsubscribe: write to er@booktravelusa.com and we will take you off the Dispatches list.
  • Ask what we hold, ask us to correct it, or ask us to delete it: email the same address, ideally from the address you wrote to us with, or call the concierge line. We reply within thirty days.

Where you live may give you further rights — California, Colorado, Connecticut, Virginia and a growing list of other states, and the UK and EU, each grant their own. We apply the choices above to everyone who asks, wherever they live, and we will never treat you differently for asking. There is no sale of personal information here to opt out of.

09Children

The site is not directed at children and we do not knowingly collect information from anyone under 13. Family journeys are arranged with an adult, who provides the travellers' details.

10Where your information is held

We are a Florida company, and our hosting and email are in the United States. Writing to us from elsewhere means your information is transferred here and handled under United States law.

11Changes to this notice

When this notice changes, the date at the top changes with it. Anything material will be described on this page rather than slipped in quietly.
